RE: Community Events Grant 2019-2020
The City of Big Bear Lake would like to take this opportunity to notify the local non-profits that we will begin accepting applications for the Fiscal Year 2019-2020 Community Events Grant Program. The deadline to submit grant applications will be Monday, April 1, 2019. We encourage all applicants to thoroughly read and adhere to the City’s policy and the directions provided on the application. Please note that organizations must complete and submit an application and required supporting documentation whether they are requesting a cash grant and/or in-kind services. The City’s resources are limited and need to be scheduled in advance; therefore, only the in-kind services that are indicated in detail on the application, if approved by City Council, will be provided for your event.
City staff will be carefully reviewing all applications for completeness and to ensure eachorganization has met the policy’s eligibility criteria and has provided all required supporting documentation. Applications which do not meet all of the general requirements and conditions listed in the policy will be reported to the City Council and may adversely affect your ability to receive a grant award.
Due to the timing of the application deadline, the City does understand that organizations may have a difficult time securing their required liability insurance and (if applicable) Special Event Permit for events that are scheduled in the upcoming fiscal year. If these are the only two items that the applicant is unable to provide by the April 1st deadline, this will not void your application. However, in the event your organization is awarded a grant, it will be contingent upon providing the City an approved certificate of liability insurance and the Planning Department’s issuance of aSpecial Event Permit.
I would also like to remind you that the Community Events Grant Policy states as per section 10(c) that organizations must submit to the Finance Department within 45 days after completion of your event the following:
A Final Narrative Report, describing the event, including number of participants, whether the objectives were met, and any issues that should be addressed or considered for the event in the future. The report shall also address estimated economic impacts of the event to the Big Bear Lake community, including estimated revenues from lodging, dining, shopping and other activities generated by the event.
A Financial Report showing expenses and revenues generated, and disposition of any proceeds from the event.

If your organization’s event received a cash grant or in-kind services through this City program last fiscal year, please ensure that you have submitted the documents listed above, in order to be eligible for this current grant opportunity.
At this time, City Council will participate in a public discussion and review each organization’s event and grant application. The City encourages a representative from your organization to attend this meeting, make a brief presentation, and answer questions regarding your event.
